Position: Office Manager
 
Report to:   HR Director

Penguin Random House is looking for an organised and communicative individual to provide efficient operation of the Midrand-based office and to provide highly professional and administrative support on behalf of the company.

Key responsibilities
  • Lead and supervise office maintenance & support team.
  • Ensure adequate stock of office refreshments/water.
  • Manage office maintenance (plants, fumigation, aircons, bathrooms, etc.).
  • Photocopier maintenance, ordering paper, etc.
  • Manage office parking bays.
  • Uphold office security protocols.
  • Support health & safety regulations.
  • Managing & distributing post when necessary.
  • Manage courier service as required.
  • Immediate daily diary updating.
  • Timeous notifications/reminders in respect of meetings, engagements, and deadlines.
  • Facilitate local and international travel arrangements.
  • Obtain competitive pricing where possible to ensure cost-saving (e.g. flights, car hire, hotels, stationery, furniture, equipment, etc.).
  • Courteous and prompt responses to requests and inquiries from colleagues and external customers.
  • Regular ordering/processing of stationery, supplies, business cards, donations/office copies etc.
  • Lead and/or coordinate corporate social responsibility in conjunction with Human Resources department.
The ideal candidate has
  • A love for books and a broad reading taste.
  • Outstanding English (written and spoken) communication skills. Good Afrikaans communication skills recommended, but not essential.
  • Excellent administrative talents and outstanding relationship building skills, coupled with a strong sense of appropriate professional conduct at all times.
  • An energetic, outgoing, and friendly person who is professional in their dealings at all levels.
  • The ability to multitask and meet deadlines.
  • Excellent leadership and management skills.
Skills and knowledge required
  • Fully computer literate and proficient in MS Office, including Excel and PowerPoint with excellent numeracy skills.
  • At least 5 years’ experience working as a personal assistant to a senior management team.
  • Have a valid driver’s license and own transport.
  • Office management diploma is preferable.
